Educational Affairs Committee

 

The success of an educational institution depends on a strong academic system, a comprehensive curriculum, and a conducive learning environment. To ensure quality education, the Educational Affairs Committee manages all academic-related tasks. Currently, it consists of nine members.

Jamiat-ul-Madina institutions are categorized into regions and zones, each monitored by educational supervisors responsible for overseeing all academic activities.

Responsibilities

Monthly Assessments

To evaluate student progress, a monthly review system is implemented, ensuring:

  1. Tracking learning speed and quality.
  2. Identifying and addressing students' weaknesses.
  3. Recognizing students' intellectual and academic capabilities.
  4. Enhancing the effectiveness of teachers.

Educational supervisors conduct monthly visits to each institution, reviewing lessons from three selected books per class and assessing students' progress. Each book review takes around 40 minutes, with some flexibility. The process concludes with a meeting with teachers and administrators to set improvement goals.

Monthly Performance Reports

At the end of each academic month, teachers submit performance reports listing:

  • Names of the books being taught.
  • Number of pages covered.
  • Days attended.

The Educational Affairs Committee reviews these reports and advises on improvements.

Biannual Performance Evaluation

Based on monthly reports, a semi-annual evaluation is conducted. Exceptional teachers receive a "Farhat Nama" (Certificate of Excellence), while underperforming teachers are given guidance for improvement.

Curriculum Updates & Division

The committee is responsible for:

  • Updating and adding new content to the curriculum annually.
  • Assigning subjects to specialized teachers.
  • Ensuring syllabus completion within the given timeframe.
  • Distributing syllabus content into biannual, monthly, and daily study plans.

Annual Exam & Result Analysis

Results are analyzed at different levels (class-wise, institution-wise, teacher-wise), and outstanding institutions and teachers receive certificates of appreciation. Students' results contribute 50% to teachers' annual performance evaluations.

Teaching Training Courses

Since teaching is both an art and a profession, specialized training courses are conducted for newly qualified teachers. These include:

  • Entry test before admission.
  • 12-15 days of training covering:
    • Teaching methodologies.
    • Student psychology.
    • Effective communication.
    • Practical training under expert teachers.
  • Tajweed (Quranic recitation) test as a mandatory requirement.
